Who we are
This website is run by 404 Tech Sdn. Bhd., a company in Kuala Lumpur, Malaysia (“404 Tech”, “we”). We decide what personal data this website collects and what it is used for, so we are responsible for it under Malaysia’s Personal Data Protection Act 2010 (the PDPA).
What the contact form collects
When you send the form on our contact page, we receive:
- your name and email address (required)
- your phone number and company name, if you give them
- whether you are asking about a project or a custom system, and the option you chose
- a budget range and a timeline, if you choose them
- your message
- that you ticked the box agreeing to this policy and the terms of use
To stop automated spam, the server briefly holds the internet (IP) address the form was sent from, so it can limit how many messages come from one address. That count is kept in the server’s memory for about ten minutes and is not written to any file or database.
Like every website, our hosting provider records basic technical details of each visit, such as the page requested, the time, the browser and the IP address, to keep the service running and secure.
We do not ask for, and ask you not to send, identity card numbers, bank details or other sensitive data through the form.
Why we collect it
- to reply to your enquiry and ask the questions we need to understand the work
- to prepare a scope and quotation, if you ask for one
- to keep a record of the conversation if it becomes a project
- to protect the form and the website from spam and abuse
We do not sell your details, and we do not add you to a mailing list.
Where it goes
The form sends your details as an email to our company mailbox. The email is delivered through Brevo, an email delivery service, which handles it on our behalf. The website itself is hosted by Vercel. Both providers may process data on servers outside Malaysia. We use them only to deliver the email and run the website, and they may not use your details for their own purposes.
Inside 404 Tech, your enquiry is read by the people who handle enquiries and, if it becomes a project, the people working on it.
How long we keep it
We keep an enquiry for as long as we need it to reply and follow up. If it leads to work, we keep it with the project records for as long as the work and our legal and accounting obligations require. If it does not, we do not keep it longer than we need to, and we will delete it sooner if you ask.
Cookies and analytics
This website does not set tracking or advertising cookies and does not run analytics. The fonts are served from our own website, so loading a page does not send your details to a font provider. If you follow our link to LinkedIn, LinkedIn’s own privacy policy applies there.
Your rights under the PDPA
You can ask us to:
- show you the personal data we hold about you
- correct it if it is wrong, incomplete or out of date
- stop using it by withdrawing your consent, after which we will stop contacting you
- stop processing that is causing or likely to cause you damage or distress
- not use it for direct marketing, which we do not do in any case
- delete your enquiry when we no longer need it
We will answer a request within the time the PDPA sets. We may ask you to confirm who you are before we act on it, so that we do not disclose your data to someone else. If you are not satisfied with our answer, you can complain to the Personal Data Protection Commissioner of Malaysia.
Keeping it safe
The form is sent over an encrypted (HTTPS) connection. Text you type is escaped before it is put into the email, so it cannot run as code, and access to the company mailbox is limited to the people who need it. No system is perfectly secure, so please do not send anything through the form that you would not send by ordinary email.
Changes to this policy
If we change what we collect or how we use it, we will update this page and the date at the top.
